Service Coordinator Industrial X-Ray Service Team

About the opportunity

We are looking for an organised, proactive Service Coordinator to join our growing service department, which supports industrial X-ray machines throughout the UK and further afield.

Working closely with service engineers and the wider team, you will help organise day-to-day activities, coordinate customer visits and requirements and maintain accurate records so that work is planned, documented and completed efficiently.

This is a new role with scope to make a real impact. As the department grows, you will have the opportunity to improve processes and put your own stamp on how the coordination function develops.

Service Coordinator - What you will do

Coordinate routine service visits and urgent repair of industrial X-ray equipment at our customer sites.
Manage team calendars, weekly plans and resource information, helping engineers and customers agree suitable visit dates.
Act as a key point of contact for customers by phone and email, providing clear updates and following actions through.
Prepare and maintain quotations for service contracts, repairs and equipment hire, with input from technical colleagues.
Arrange site access and ensure required documentation is available before visits, including customer forms, RAMS, and handover information.
Collect, file and distribute post-visit reports, critical-examination certificates, recommendations and follow-up actions.
Maintain well-organised customer and technical records.
Support with team purchasing, such as travel and hotel bookings.
Help coordinate packing, shipping and associated documentation.
Maintain records for stock, spare parts, machines, tools and equipment.
Set up folders and records for new customers and support the handover of completed projects into the service team.
Maintain customer-portal records and provide training and accreditation certifications, handling personal information appropriately.
Identify opportunities to simplify administration and help select or introduce suitable software as the department develops.

Service Coordinator - What we are looking for

Strong organisation, coordination and record-keeping skills.
Confidence managing several priorities, deadlines and follow-up actions.
Clear, professional communication with customers, engineers, suppliers and colleagues.
A careful and accurate approach to documentation and data handling.
Confidence using Microsoft 365, particularly Outlook, Word, Excel, Teams and shared files.
Willingness to learn the terminology and requirements associated with industrial X-ray equipment, service activity, radiation safety and site compliance.
A practical, improvement-focused mindset and the confidence to suggest better ways of working.
Experience in service coordination, engineering administration, operations, scheduling or a similar environment would be helpful, but the right attitude and transferable skills are equally important.

Service Coordinator - Working pattern

The ideal working pattern is 30 hours across five days. However, we encourage applications from people who would prefer to work slightly more or fewer hours, or who need a different working pattern to support their work-life balance. The role is primarily office-based, with the opportunity to work from home where appropriate.
