Housing Options Co-ordinator / Administrator

To provide an administrative for the Housing Options Specialist and RSI teams, including making accurate timely notes, uploading documents, issuing letters.
Assisting the outreach team with rough sleepers
Making emergency accommodation bookings, raising and sending invoices, help complete benefit forms.
To deal with telephone and reception enquiries for the Housing Options Specialist and RSI teams giving accurate and lawful initial housing options advice to customers to prevent/relieve homelessness and signpost as appropriate
To participate in the floating support service (tenancy sustainment) to clients residing in the community

Front Facing Customer Service

To deal with initial customer enquiries to the housing options team by phone, email and in person with a particular focus on survivors of domestic abuse and customers who are, or at risk of, rough sleeping. This will involve: obtain/record customer details, make a Housing Act 1996 Part VII initial assessment, give accurate and lawful advice, make enquiries and then decide whether to escalate the case for a Full Housing Assessment with a Specialist Housing Options officer or the RSI officer
Participate in floating support service to ensure tenancies are sustained including helping clients to complete and submit benefit forms.
The postholder will primarily be Office based, however, the ability to work from home when needed is also essential.

Office Administration

Provide comprehensive administrative support to the team including: managing phone calls, keeping clear, accurate and up to date records for every case, ensuring all paper records are organised, scanned and checked on electronic software in a timely manner.
To assist in the administration of booking emergency accommodation and in accordance with Council policy and procedures which includes:
Contact emergency accommodation providers to book appropriate accommodation for homeless clients during severe weather periods
Prepare, send and upload all emergency accommodation commencement, notification and cessation documentation and upload to relevant system. Raise and send customer invoices and pay supplier invoices.
Ensure customers and colleagues understand customer repayment responsibilities, and the impact on their housing options.
Process and register housing register applications with a particular focus on SWEP clients and domestic abuse survivors
Provide cover for other administrative staff within the Specialist Housing Options and RSI teams
To carry out any other duties as shall be specified by the Specialist Housing Options Manager, including supporting other housing teams as required.

DIMENSIONS OF THE ROLE (WEEKLYUNLESS STATED)

10 enquiries from external customers including requests for housing options advice
5 floating support visits to be made each week.
5 contacts with customer per week regarding their payment arrangements to the Council
3 housing register applications to be processed.
During SWEP periods, 5 emergency accommodation booking to be made each week. 5 invoices to be raised. 5 invoices to be paid.
Ongoing document organisation and indexing.
